DocuMatix is a licensee of the TRUSTe
Privacy Program. TRUSTe is an independent, non-profit organization whose mission
is to build users' trust and confidence in the Internet by promoting the use of
fair information practices. This privacy statement covers the site www.documatix.com.
Because this web site wants to demonstrate its commitment to your privacy, it has
agreed to disclose its information practices and have its privacy practices reviewed
for compliance by TRUSTe.

The TRUSTe program covers only information
that is collected through this Web site, and does not cover information that may
be collected through software downloaded from the site.
Above all else, at DocuMatix your privacy
and the privacy of your subscribers are of the greatest importance to us.
Our success depends implicitly upon our ability to maintain the trust of our customers
and their subscribers. Toward this end, we have two distinct policies:
- Subscriber Data Policy:
As our customer, you have exclusive ownership and rights to your subscriber data.
- Email Delivery Policy: We send only
to email lists that have been conveyed to us to have been gathered by means of opt-in
and/or considered transactional relationship based on an existing business relationship.
All emails that are sent whether the format be Text or HTML include an Unsubscribe/Opt-Out
Link. Any email recipient may elect at any time to unsubscribe/opt-out via
this link, and the DocuMatix website engines will comply with that request automatically
in real-time. In addition, should DocuMatix be advised that our customers
are sending unsolicited email then we will thoroughly investigate those allegations
and remedy the situation as determined appropriate measures to ensure compliance
at all times with the United States CAN-SPAM Act of 2003.
Information Collection and Use
DocuMatix is the sole owner of the information collected on the

website. We do not sell, share, or rent this . DocuMatix collects the
information and uses it exclusively to send only appropriate information to visitors
who request it. Further, DocuMatix collects information in the following ways:
Contact Us and Request Documents Forms
Requires a visitor to provide their name and email address. Additionally,
a visitor has the option to enter additional contact information such as daytime
or evening phone number if so desired. DocuMatix will use the information provided
to contact you and offer additional information about our products and services.
Email and Surveys sent via email
DocuMatix operates in an ASP (Application Service Provider) environment and services
various on-line marketing needs of businesses to include Text/HTML Emails and HTML
Surveys sent via email. All HTML marketing emails that are sent through the
DocuMatix system use a software technology called web beacons clear gifs.
We utilize this technology to help measure campaign performance for our customers.
Such measurements include the date/time of when an email is opened, or when an individual
link is clicked on in an email. Additionally, the data gathered is tied to
the email address for an individual campaign. This information is only accessible via the account owner and limited DocuMatix staff (for support reasons). These
measurements are only viewable by a customer over an encrypted SSL Internet browser
connection.
Email Address used for campaigns
Email addresses used for campaigns sent on behalf of customers are stored in the
DocuMatix system for 60 days. After 60 days each campaign is run through an
archive process that removes the email address from the system with the exception
of permanent undeliverable email addresses and/or email addresses that have opted
out. The original campaign and campaign performance reports are saved until
the customer elects to remove them from the system.
Cookies
A cookie is a small text file that is stored on a users computer for record-keeping
purposes. We occasionally use cookies (that expire within one day) on our
site within Web Polls that are conducted. We do not link the information we
store in cookies to any personally identifiable information you submit while on
our site.
Log Files
DocuMatix uses IP addresses to monitor and administer our web site and collect data
to analyze trends. IP addresses are not linked to any personally identifiable information.
Log files collected may include browser type, IP address, URL and/or page accessed.
Additionally, DocuMatix creates log files
within their on-line products to gauge product use, loads and popular features based
on access. These log files may include IP Address, Date/Time Stamps, Internal
codes for determining part of system being accessed, login/logout events as well
as campaign reports viewed and downloaded.
Links
The DocuMatix website contains links to other sites. DocuMatix is not responsible
for the privacy practices of these sites. Therefore, we recommend visitors read
the privacy statements of each website.
Opt Out
All email communications sent by DocuMatix (whether directly from DocuMatix or sent
on behalf of customers) have links and/or clear instructions on how to unsubscribe
from subsequent email communications. This can be accomplished by clicking on the
unsubscribe link within an email, or a subscriber may reply back indicating they
no longer wish to receive communications. By clicking on the link the process
is automated, however, a manual reply requires a manual entry made by an employee
to add the individual to a master unsubscribe list.
Personal Account Profile
All DocuMatix customer accounts have an account profile that contains contact information
such as name and address of the account owner. Customers may change this contact
information at any time while logged into their account. This information
is used by DocuMatix for point of contact with the business.
Security Statement
The security of your personal information, and the information of your subscribers
are important to us. When utilizing our services and/or a subscriber enters
information in a published web form that utilizes custom fields we encrypt that
information using secure socket layer technology (SSL). Additionally, such
use of custom fields as defined in our products are encrypted within our database
system.
DocuMatix has made investments in technology
and time to employ various security technologies and safeguards. Such safeguards
include daily web penetration and vulnerability assessments performed by a trusted
third party on DocuMatix servers.
Notification of Changes to our Privacy Policy
When a change to our privacy policy occurs, we will post a notification on our homepage.
If there is a material change to personally identifiable information and/or our
security standards then the customer will be notified by email and/or mail where
they may elect to discontinue service.
Anti-Spam Statement
DocuMatix maintains a strict policy surrounding spam, and practices permission-based
email marketing. DocuMatix does not send unsolicited email, or work with companies
who do so.
Forward To A Friend
If you choose to use the Forward To A Friend feature DocuMatix will ask for the
friend's name and email address, and any personal comments the email recipient would like
to convey. DocuMatix does not use this information other than for the intended purpose.
Customer Testimonials
Any customer testimonials are first approved by the customer and DocuMatix prior
to being displayed on the DocuMatix Web Site. DocuMatix discloses that your Company
Name, Title and any other information as you have approved shall be publicly available
for anyone to view as depicted on the DocuMatix Web Site.
Legal Disclaimer
Though we make every effort to preserve user privacy, we may need to disclose personal
information when required by law wherein we have a good-faith belief that such action
is necessary to comply with a current judicial proceeding, a court order or legal
process served on our Web site.
